Welcome to ApnaGuest ("we", "us", or "our"). This Privacy Policy explains how ApnaGuest collects, uses, discloses, and safeguards your information when you use our website, mobile application, PG management software, and related services (collectively, the "Services").

If you do not agree with the terms of this Privacy Policy, please do not access the Services.

2. Information We Collect

A. Information you provide to us

  • Account data: Name, email, phone number, password
  • Profile details: Profile picture, preferences, tenant/owner status
  • Government ID documents: Aadhaar card, PAN card, passport, driver's license, voter ID (for identity verification)
  • Employment & financial details: Occupation, employer information, income verification, bank account details
  • Property information: Property details, room assignments, rental agreements
  • Emergency contacts: Name and contact information of emergency contacts
  • Payment details: Payment information processed via our payment partners (we do not store full card numbers)
  • Support inquiries: Communications and feedback you send us

B. Information collected automatically

  • Device and app info: Device type, operating system, app version, language settings
  • Usage data: Features used, pages viewed, session duration, clicks and interactions
  • Log and diagnostic data: IP address, timestamps, crash reports, performance metrics
  • Location data: Approximate location derived from IP address or device settings (if enabled)
  • Cookies and similar technologies: See Cookies section below

C. Information from third parties

  • Single sign-on: Basic profile data from Google, Apple, or other authentication providers
  • Payment processors: Transaction confirmations and payment status

5. Cookies & Similar Technologies

We use cookies, local storage, and SDKs to remember settings, authenticate sessions, measure traffic, and understand user interactions. These help us:

6A. Mobile App Permissions & Disclosures (Android)

Our Android application requests certain device permissions to provide core functionality. You can manage or revoke these permissions anytime from your device settings. Denying optional permissions may limit specific features, but the app will continue to function for core services unless the permission is essential.

Internet access — android.permission.INTERNET

  • Purpose: Connect to our servers to log in, sync data, process payments, and load content.
  • Status: Required for core functionality.
  • Data: Network identifiers and IP address may be processed for security and diagnostics.

Notifications — android.permission.POST_NOTIFICATIONS (Android 13+)

  • Purpose: Send payment reminders, booking updates, maintenance alerts, and security notifications.
  • Status: Optional and opt-in. You can disable in device settings or in-app where available.
  • Data: Notification tokens/identifiers used solely to deliver notifications.

Photos and media — android.permission.READ_MEDIA_IMAGES (Android 13+) / READ/WRITE_EXTERNAL_STORAGE (Android 12 and below)

  • Purpose: Let you upload/select images for profile photos, property photos, receipts, and ID verification; save generated receipts or documents on older Android versions.
  • Status: Optional and requested only when you choose to upload or save images. On Android 13+, access is limited to images you select.
  • Scope: On Android 12 and below, legacy storage permissions (READ/WRITE_EXTERNAL_STORAGE) may be used with maxSdkVersion limits to maintain compatibility.
  • Data: Only the photos/documents you select or capture are uploaded. We do not scan or collect your entire gallery.

Camera — android.permission.CAMERA

  • Purpose: Capture photos for profile, property images, receipts, or ID verification.
  • Status: Optional and requested only when you start a camera action.
  • Data: Only the captured photos you choose to submit are uploaded.

Managing Permissions

You may revoke granted permissions anytime via your device settings (Settings → Apps → ApnaGuest → Permissions). Some features may not be available without the corresponding permission.

7. Sharing & Disclosure

We may share your information in the following circumstances:

Vendors & Service Providers

For hosting, analytics, payments, support, communications, and security—under appropriate safeguards and data processing agreements.

Property Owners and Administrators

We share relevant tenant information with property owners and administrators for legitimate property management purposes, including contact details, payment history, and tenancy records.

Legal & Compliance

To comply with laws, respond to lawful requests from authorities, or to protect rights, safety, and property of ApnaGuest, our users, or others.

Business Transfers

In connection with mergers, acquisitions, financing, or asset sales, subject to appropriate confidentiality protections.

With Your Consent

When you direct us to share information or you opt in to a feature or partner integration.

8. Data Retention

We keep personal data only as long as necessary for the purposes outlined in this Policy, to comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data type and context. ID documents and sensitive personal information are securely disposed of when no longer needed for legitimate business or legal purposes.

9. Security

We use administrative, technical, and organizational measures designed to protect personal data, including:

  • Encryption of sensitive data in transit and at rest
  • Secure servers with access controls and monitoring
  • Regular security audits and vulnerability assessments
  • Employee training on data protection and privacy
  • Multi-factor authentication for account access

However, no method of transmission or storage is 100% secure. You are responsible for maintaining the secrecy of your account credentials.

10. International Data Transfers

Your information may be processed and stored in countries other than your own, including India and other jurisdictions where we or our service providers operate. Where required, we use appropriate safeguards (such as standard contractual clauses) to protect cross-border transfers.

Depending on your location, you may have rights over your personal data, such as:

India (DPDP Act):

You may request data access, correction, and erasure per applicable law. Contact our grievance officer using the details below.

12. Children's Privacy

Our Services are not directed to children under 18 (or older age as defined by local law). We do not knowingly collect personal information from children. If you believe a child has provided us personal data, please contact us to request deletion.

13. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the new effective date and, where appropriate, notify you through the Services or by email. Your continued use of the Services after changes become effective means you accept the revised Policy.
